Privacy policy

Who we are

KĀHLĪ Phuket is developed and operated by Pasak Sports & Well-being Co., Ltd., 5/109 Soi Pasak 8, Cherngtalay, Thalang, Phuket 83110, Thailand. This page explains what personal information we collect across everything we do, including this website, our booking and coaching systems, and the messages you send us.

Responsibility for how we handle personal information rests with Gareth Jones, Managing Director. We have appointed Thomas Adamthwaite as our Data Protection Officer, and questions about your information reach him at privacy@kahliphuket.com.

What we collect when you contact us

When you send an enquiry, request a brochure, book a video call or share an assessment result, we receive what you type: typically your name, email address, phone number and message. Our system also records the page you wrote from, the button you used, the time of sending, your IP address and an approximate location (city and country) derived from it, and, if you arrived from one of our advertisements, the advertising identifiers your browser carries, so we can tell which advertising brought you to us. This context helps our team route your enquiry to the right people and reply sensibly across time zones.

We use this information to answer you and to follow up on your enquiry. Sending us an enquiry does not add you to any marketing list. We only send marketing to people who have agreed to receive it, and you can withdraw that agreement at any time.

Where your information comes from

We hold information about you from a small number of places. You may have written to us through this website. You may have booked a court, a lesson, a camp or a stay, in which case our booking system holds your contact details and what you booked. You may have written to us by email or WhatsApp, and those conversations are kept so that whoever answers you next can see the history. If you have subscribed to our mailing list, we hold that subscription and the date you gave it.

Information about junior players

Children attend our academy, so we hold information about them. This normally includes a name, date of birth, tennis level and a record of the sessions they attend. We use it to run the coaching programme, to place a child in the right group, and to keep them safe on court.

We collect this information only from a parent or guardian, and only with their explicit written consent, given at registration. That consent form also carries an optional waiver, so a parent may choose to exclude their child from photographs and video used in our marketing. If that waiver is given, we honour it.

A child's information is held under additional protection in our booking system. Access is restricted so that only authorised people can see or use it, and it is not available to staff who have no need for it.

We never send marketing email to a child. Where we cannot confirm that an address belongs to an adult, we do not use it. Where a young player's record has no adult contact linked to it, that record is left out of every mailing rather than guessed at.

If you are a parent or guardian and you would like to know what we hold about your child, or you would like it corrected or removed, write to our Data Protection Officer at privacy@kahliphuket.com and he will deal with it.

Marketing email

We send occasional email about our programmes, camps and events. We send it only to people who have agreed to receive it.

Every email we send carries a link to your preferences. You can use it to choose which subjects you hear about, or to stop hearing from us altogether. It takes one click, and you do not need to write to anyone or sign in.

We take unwanted email seriously, and we have put considerable time, effort and investment into making sure we do not send any. Rather than mail everyone, we build carefully targeted groups so that a message reaches the people it is genuinely relevant to and nobody else. A parent of a junior player hears about junior programmes. Somebody who has never expressed an interest in a subject does not hear about it at all. To do this we use information such as which programmes you have booked, how recently you visited, and which country you are in.

We do not make any decision about you by automated means that has a legal or similarly significant effect.

We record whether an email was delivered, and whether it bounced. We do not use tracking pixels to record whether you opened it.

Analytics and advertising

This site uses Google Analytics to understand how visitors use our pages, with IP anonymisation switched on. We also use the Meta Pixel so that we can measure our advertising on Facebook and Instagram and show it to people who are likely to find it relevant. Both tools set cookies in your browser and receive standard technical data such as the pages you view and the device you use.

Blocking or deleting cookies in your browser does not affect your ability to use this site.

Who processes information for us

These companies handle information on our behalf, under contract, and only on our instructions.

  • ServiceOps, by DigitalOps, which stores and protects our booking and payment data
  • Curem, by DigitalOps, which holds our business data and provides our analytics and tracking
  • Cloudflare, which hosts our systems and stores our data
  • Amazon Web Services and Resend, which deliver our marketing email
  • Microsoft, which hosts our mailboxes
  • Freshworks, which handles guest conversations by email and chat
  • Google and Meta, for website analytics and advertising measurement as described above
  • Xero, for invoicing and accounts

Some of these companies operate outside Thailand, so your information may be processed abroad. Where that happens we rely on the safeguards those providers offer under their own data protection commitments.

What we do not do

We do not sell your information, and we do not share it with anyone for their own marketing. We share it only with the service providers listed above, who process it on our instructions.

How long we keep it

We keep booking and account records for as long as we need them for the business and for tax and accounting law. We keep marketing records for as long as you are subscribed. Detailed engagement records are reduced to summary figures after twenty four months.

If you ask us to stop contacting you, we keep a small record of that request, permanently. This is deliberate. It is the only way to be certain that you are not added back by mistake later. That record contains no more than is needed to recognise you and honour the request.

Your rights, and the quickest way to use them

Under Thailand's Personal Data Protection Act (PDPA) and, where it applies to you, the EU General Data Protection Regulation (GDPR), you can ask us what personal information we hold about you, ask us to correct it, ask us to delete it, and withdraw your agreement to marketing at any time.

The fastest way to change what email you receive is the preferences link at the bottom of any email we have sent you. For anything else, write to our Data Protection Officer at privacy@kahliphuket.com and we will respond promptly.

If we change how we handle personal information, we will update this page and its effective date.
